Position: Office Manager / Executive Administrative Assistant / Director of Operations

·This role reports directly to the Owner of the Firm and supports all staff, including C-level executives
·Running, preparing, and presenting operational reports for Management such as time tracking, billing, and detailed aging reports
·Overseeing Accounts Receivable (i.e. invoicing clients) and Accounts Payable (i.e. paying vendor bills) for the Firm
·Greeting all visitors (vendors, clients, employees, and referral partners) with energy and enthusiasm to create and maintain positive relationships
·Cover main phone during business hours and relaying messages in a timely manner
·Overseeing company-wide scheduling initiatives while utilizing project management software
·Maintaining a file management system, electronically and manually (if/when necessary)
·Drafting memos and emails on behalf of other office staff
·Booking domestic and international travel and assisting with other travel related needs such as passports and VISAs
·Assisting with company events such as the annual holiday party, happy hours, company retreats, etc.
·Taking initiative to perform recurring tasks to support office functionally, and managing relationships with vendors who also support operational task, such as stocking office supplies, ensuring office cleanliness, etc.
·Disseminate and distribute office mail across office and assist with other shipping and mailing needs
·Assisting in limited tasks that support human resource function (i.e. onboarding paperwork)
·Minimum of 5 years of work experience after obtaining degree, including 2 + years of executive admin or office manager experience, or holding a comparable title with similar responsibilities
·Experience in professional services or client facing business
·Experience in managing accounts payable and accounts receivable (i.e. invoicing, capturing and paying bills, etc.)
·Ability and confidence to face clients, especially in-person and through daily phone interaction
·Ability to work in fast-paced environment and adaptable to change
·Detail oriented and strong organizational skills for handling multiple projects simultaneously
·Ability to take the lead on tasks, work independently, efficiently, and accurately with minimal supervision
·Demonstrate confidentiality and discretion when handling sensitive matters and information
·Comfortable communicating with people at all levels of the organization, and with a variety of personalities
·Experience with administrative and operational policies, such as PTO and time tracking, and is comfortable explaining and enforcing such policies
·Proficient in Microsoft Office, specifically Microsoft Outlook for mailbox & calendar management
·Limited working knowledge with QuickBooks, or similar accounting software
·Managing sales pipeline and on-boarding new clients in CRM & accounting software
·Has received solid performance reviews and feedback from previous employers
·Possesses excellent written and oral communication skills
·Can process and transpose information very quickly and accurately (i.e. possesses an above average typing speed)
·Positive attitude, dependable, and reliable
·Previous work experience with an accounting/CPA firm
·Post secondary education is always a plus, but not necessary
·Degree in Office Management, or similar accreditation
·Possesses an interest in business development and growing a book of business
·Working knowledge of how to perform small business accounting-related tasks (i.e. performing bank reconciliations in QuickBooks and/or processing payroll)
·Is a Colorado Notary Public
·Can quickly research unknown technical issues using various firm tools and resources
