Accounting Services – Executive Administrative Assistant

RESPONSIBILITIES:

  • This role reports directly to the Owner of the firm

  • Greet all visitors (vendors, clients, employees, and referral partners) with energy and enthusiasm to ensure a positive experience

  • Cover main phone line to ensure 100% telephone coverage during business hours and relaying proper messages in a timely manner

  • Organizing and manage calendars and meetings

  • Oversees company-wide scheduling initiatives while utilizing project management software

  • Develop and maintain a file management system

  • Write letters and emails on behalf of other office staff

  • Maintain computer and manual filing systems

  • Book domestic and international travel and assist with other travel related needs such as passports and VISAs

  • Oversee Accounts Receivable (i.e. invoicing clients) and Accounts Payable (i.e. paying bills)

  • Assist with company events such as the annual holiday party, Happy Hours etc.

  • Oversee office cleanliness and functionality- keep communal areas tidy and working throughout the day: coffee machine, copy/printing areas, and conference rooms. Troubleshoot any issues with IT support, building maintenance, and outside vendors

  • Possess tech skills necessary to perform data entry, manage team calendars, and create company reports (as needed)

  • Be able to plan strategically

  • Ability to anticipate needs and complete important tasks without needing to be asked

  • Take initiative to support the needs of the business

  • Maintain inventory of kitchen, office, and HR supplies; place orders to keep stock full and follow through with requests/feedback from employees

  • Disseminate mail in office and assist with UPS orders, as needed or other internal mailings/shipments

 

MUSTS:

  • Bachelor’s Degree

  • 2 + years of relevant office management experience. Knowledge of office management systems and procedures

  • Ability to work in fast-paced environment and adaptable to change

  • Detail oriented and strong organizational skills for handling multiple projects simultaneously

  • Ability to work independently, efficiently, and accurately

  • Demonstrate confidentiality and discretion when handling sensitive matters and information

  • Comfortable communicating with people at all levels of the organization, and with a variety of personalities

  • Proven ability to prioritize and multi-task

  • Ability to be resourceful and proactive in dealing with issues that may arise

  • Exceptionally well organized with keen eye for detail

  • Proficient in Microsoft Office, specifically Microsoft Outlook and Excel

  • Has received solid performance reviews and feedback from previous employers

  • Possesses excellent written and oral communication skills 

  • Positive attitude, dependable, and reliable

 

PLUSES:

  • Previous work experience with an accounting/CPA firm

  • Knowledge of small business accounting (i.e. performing bank reconciliations in QuickBooks and processing payroll)

  • Can quickly research unknown technical issues using various firm tools and resources
